NON-SOLICITATION POLICY

Non-Solicitation Policy of the Club Aquatique des Laurentides (CALAU)


1) Preamble

As part of its sports and community activities, the Club Aquatique des Laurentides (“CALAU”) aims to provide a healthy, respectful environment free from commercial pressures. To protect the integrity of relationships among members and prevent conflicts of interest, CALAU adopts this Non-Solicitation Policy.


2) Purpose

The purpose of this policy is to regulate and prohibit any form of solicitation, promotion, or offer of professional services among CALAU members, regardless of their age group or training level.


3) Scope

This policy applies to all individuals participating in CALAU activities, including but not limited to:

  • swimmers (youth, adults, masters, recreational, or competitive);
  • coaches, assistants, and volunteers;
  • parents and chaperones present at facilities used by CALAU;
  • administrative staff members.


4) Definitions

4.1 Solicitation
Any action intended to offer, promote, or sell a service or product, whether on a professional or commercial basis, including, but not limited to: private training, health services, consulting, coaching, specialized products, etc.

4.2 Professional Services
Any service offered in exchange for compensation or that may create a formal or informal business relationship.


5) General Principles

5.1 CALAU’s facilities, activities, and communications must under no circumstances serve as a platform for commercial and/or professional activities.

5.2 Relationships within CALAU must remain free of commercial interests that could undermine the sporting dynamic, trust, or group cohesion.

5.3 Coaches, volunteers, and staff members must maintain a strict distinction between their role at CALAU and any external professional activities.


6) Rules of Conduct

6.1 It is strictly prohibited for any member to offer, promote, or solicit professional services from other CALAU members.

6.2 It is prohibited to use CALAU’s mailing lists, communication groups, social media platforms, or events for commercial or promotional purposes.

6.3 A spontaneous conversation, during which one member asks another a question, does not in itself constitute solicitation, provided that no offer of services or inducement to establish a business relationship is made.

6.4 In the event that two members wish to establish a professional relationship, any steps, discussions, or agreements must take place outside of CALAU’s activities, facilities, and communication tools.

6.5 No discussions regarding professional agreements may take place before, during, or after practices, in the locker rooms, or in areas administered by CALAU.


7) Reporting

Any member who feels solicited or witnesses solicitation may report it confidentially to:

  • the CALAU Management Committee;
  • the head coach;
  • a member of the CALAU Board of Directors.

CALAU is committed to handling all reports with discretion, impartiality, and diligence.


8) Disciplinary Measures

In the event of a violation of this Policy, CALAU may impose one or more of the following measures, depending on the severity and recurrence of the violation:

  • verbal warning;
  • written warning;
  • temporary suspension from activities;
  • expulsion from CALAU.


9) Revision and Effective Date

This Non-Solicitation Policy takes effect on the date of its adoption by the CALAU Board of Directors. It may be revised as needed by the organization.
